By sharing your data with us, for example, when you create an Imagina account or when your data is transmitted to us by an event organizer with your consent, you allow us to further improve the quality of these services by enhancing the relevance of the results offered to you, helping you establish connections, or facilitating and accelerating data sharing. As a user or client of our services, we want you to understand how we use your data and how you can protect your privacy.

Purpose of the privacy policy

We strive to be as clear as possible. At Imagina, we are committed to preserving the confidentiality of your private data. Whether you are a user or a client, take the time to review our practices, and if you have any questions, feel free to contact us.

Data We Collect

The data we collect is used to improve the services we offer to our users and clients. This may include basic data, such as your name and surname for managing user and client accounts, or more complex data like language or time zone to provide you with tailored content.
We collect data in four ways:

  • Optional Data You Provide When Using Our Services :
    • Image, cover photo, date of birth, gender, city, organization, occupation, or any other information
  • Optional Data Provided by Our Client with Your Consent :
    • Any type of data necessary for the venue or event
  • Essential Data We Collect to Offer You a Unique Experience :
    • Time zone, language, type of registration, platform used, support used, IP address, MAC address, email confirmation token, location data with your consent, last login date

We may collect and store data (including personal data) on the device you use, using mechanisms such as web storage (HTML5) and application data caches.

How We Use the Data We Collect

The data we collect is processed to fulfill the following purposes :

  • Accessing applications and the administration platform
  • Maintaining a record of registered users, clients, and prospects
  • Managing customer operations, invoices, contracts, follow-ups
  • Sending newsletters
  • Generating visit statistics
  • Providing content tailored to the user profile
  • Offering relevant event/venue search results
  • Automatically selecting the user's language and time zone
  • Creating a meeting module

When we offer you a personalized experience, we do not associate cookies or anonymous identifiers with sensitive data such as religion, sexual orientation, or health status.

The personal information you provide for one of our services may be combined with data from other Imagina services (including personal information), for example, to facilitate the sharing of your information with people you know. Data reconciliation from cookies with personally identifiable data is only possible with your explicit consent. We may also collect data about you indirectly from event organizers with your consent.

Remember that when you publicly share data on Imagina applications, it may be indexed in various platform modules. Our services offer multiple ways to share or delete your content as needed.

Any use of data for purposes other than those stated in this Privacy Policy will require your explicit consent.

Hosting

Imagina applications are hosted on the Google Cloud Infrastructure as a Service (IaaS) (Google Compute Engine). Imagina uses the europe-west9-a region located in France.

Data Retention Period

Your personal data is processed for the period necessary for the purposes for which it was collected, to comply with legal and regulatory obligations according to the principle of limited personal data retention under the GDPR and the French Data Protection Act, and for the duration of any period necessary for the establishment, exercise, or defense of legal rights.

Retention periods are as follows :

  • Prospective client data is retained for up to three years from the last contact with IMAGINA.
  • Client data is retained for the duration of the business relationship, then up to three years after the end of this relationship for commercial prospecting purposes.
  • Contracts (B2B and B2C) are retained for five years.
  • Billing and accounting data is retained for ten years in accordance with legal obligations.
  • Newsletter subscription data is retained until the person unsubscribes.
  • Credit card numbers are deleted immediately after payment is made. However, they may be kept in intermediate storage for thirteen months, or up to fifteen months for deferred debit cards, to manage potential transaction disputes.

Transparency and Freedom of Choice

Privacy concerns vary from person to person. We aim to be transparent about how we collect and use your data, so you have all the information needed to make informed choices. You can, for example, directly:

  • Control who you share your data with.
  • Delete data from several of our services via the applications.
  • Configure your browser to block cookies related to our services.

However, please note that disabling cookies or deleting data may cause our services to malfunction or impact your experience.

Accessing, Updating, or Deleting Your Personal Data

When you use our services, we want you to have access to your personal data. If there is an error, we make it easy for you to update or delete it unless we need to retain it for legitimate business purposes or legal compliance. Therefore, even when you delete data used by our services, we do not immediately remove residual copies from our active servers or backup systems.

We may share aggregated, non-personally identifiable data publicly and with our partners (publishers, advertisers, or associated sites). In the event that Imagina is involved in a merger, acquisition, or any form of asset sale, we will ensure the confidentiality of your personal data and inform you before it is transferred or subject to new privacy rules.

Data Security

We implement necessary security measures to protect Imagina and our users from unauthorized access and unauthorized alteration, disclosure, or destruction of the data we hold. In particular: :

  • We encrypt most of our services using SSL technology.
  • We conduct internal audits on data collection, storage, and processing, including physical security measures, to prevent unauthorized access to our systems.
  • Access to personal data is strictly restricted to Imagina employees, contractors, and agents who need to access it to process it on our behalf. Scope

These Privacy Rules apply to all services offered by Imagina but exclude services governed by other privacy rules that do not incorporate these.

These Privacy Rules do not apply to services offered by other companies or individuals, including sites that may incorporate Imagina services. These Privacy Rules do not cover the data protection practices of other companies or organizations that advertise our services and that may use cookies or other technologies.

Compliance with Regulations

We regularly review our compliance with these Privacy Rules. When we receive a formal written complaint, we contact the user to follow up on the issue. We work with the appropriate regulatory authorities, including local data protection authorities, to resolve any complaints regarding the transfer of personal data that we cannot resolve directly with the user.

Changes to Privacy Rules

These Privacy Rules may change. Any reduction in your rights under these Privacy Rules will not be enforced without your express consent. We will post any modifications to the Privacy Rules on this page and, in the case of significant changes, we will post a prominent notice.
