You may use our services for a variety of reasons - to share data, to communicate with others or to create new content from the https://imagina.com website, the https://app.imagina.com web application or the Imagina mobile application. By sharing your data with us, for example when you create an Imagina account or when your data is transmitted to us by an event organizer with your consent, you enable us to further improve the quality of these services by the relevance of the results proposed to you, by helping you to establish contacts or by facilitating and accelerating the sharing of your data. As a user or customer of our services, we want you to understand how we use your data and how you can protect your privacy.

Purpose of the privacy policy

We strive to be as clear as possible. At Imagina, we are committed to protecting your privacy. So, whether you're a user or a customer, please take the time to discover our practices and, if you have any questions, don't hesitate to contact us.

Our Privacy Policy explains:

  • what data we collect and why
  • where your data is stored
  • how we use this data
  • how long we keep your data
  • how to access, update and delete your data
  • how we secure your data

The data we collect

The data we collect is used to improve the services we offer our users and customers. This may be basic data, such as first and last name, to manage user and customer accounts, or more complex data, such as language or time zone, to provide you with tailored content.
We collect data in four ways:

  • Mandatory data that you provide:
    • To access our services by creating an Imagina account
      • Last name, first name, e-mail address
    • To subscribe to our services by providing us with customer information:
      • Billing information, company identification information
  • Optional data you provide when using our services:
    • Image, cover photo, date of birth, gender, city, organization, occupation or any other information
  • Optional data provided to us by our customer with your consent:
    • Any type of data required for the venue or event
  • Essential data we collect to offer you a unique experience:
    • Time zone, language, type of registration, platform used, medium used, IP address, MAC address, e-mail validation confirmation token, location data with your consent, last log-in date

We may collect and store data (including personal data) on the device you are using with mechanisms such as web browser storage (HTML5) and application data caches.

How do we use the data we collect?

The data we collect is processed and used for the following purposes:

  • Accessing applications and the administration platform
  • Maintain an up-to-date file of registered users, customers and prospects
  • Manage customer management operations, invoices, contracts, follow-ups
  • Send newsletters
  • Generate visit statistics
  • Propose content adapted to user profile
  • Propose search results for relevant events/places
  • Automatic selection of user language and time zone
  • Create an appointment module

When you have a personalized experience, we do not associate cookies or anonymous identifiers with sensitive data such as religion, sexual orientation or health status.

The personal information you provide for one of our services may be combined with information from other Imagina services (including personal information), for example to facilitate the sharing of your information with people you know. Cross-referencing cookie data with personally identifiable information is only possible with your explicit consent. We may also collect data about you indirectly from the organizers of events you attend with your consent.

Remember that when you share data publicly on Imagina applications, it may be indexed in various modules of the platform. Our services have several ways of sharing or deleting your content as required.

Any use of data for purposes other than those set out in this Privacy Policy will require your explicit consent.

Hosting

Your data is kept and stored on Google Cloud servers in Belgium in the European Union for the entire legal retention period in accordance with the RGPD (General Data Protection Regulation).

Retention period of personal data

Your personal data is processed for the period necessary for the purposes for which it was collected, to comply with legal and regulatory obligations in accordance with the principle of limited retention of personal data provided for by the RGPD and the Data Protection Act and for the duration of any period necessary for the establishment, exercise or defense of legal rights.

Transparency and freedom of choice

Privacy concerns differ from person to person. We want to be transparent about how we collect and use data about you, so that you have all the information you need to make informed choices. For example, you can directly carry out the following actions yourself:

  • Control who you share your data with.
  • Delete data from several of our services via applications.
  • Set your browser to block cookies related to our services.

Please note, however, that our services may not function properly or your experience may be adversely affected if you disable cookies or delete data.

Viewing, updating or deleting your personal data

Access to and rectification of data is a free service, except where this would involve an inordinate amount of effort. We take every precaution to protect the data managed as part of our services from accidental or deliberate destruction. Consequently, even when you delete data used by our services, we do not immediately delete the residual copies on our active servers or those stored in our backup systems.

Data we share

    • We only share your personal data with third-party companies, organizations or individuals with your consent. We always ask for your permission before passing on sensitive personal data to third parties.

      • enforce the applicable terms of use, including the determination of any breaches thereof

      • to protect the rights, property or safety of Imagina, its users or the public, in accordance with the law.

We may openly share aggregated, non-personally identifiable data with our partners (publishers, advertisers or associated sites). In the event that Imagina takes part in a merger, acquisition or any other form of asset transfer, we undertake to guarantee the confidentiality of your personal data and to inform you before they are transferred or subjected to new confidentiality rules.

Data security

We implement all necessary security measures to protect Imagina as well as our users against any unauthorized access to and modification, disclosure or destruction of the data we hold. In particular :

  • We encrypt most of our services using SSL technology.
  • We conduct internal audits of data collection, storage and processing, including physical security measures, to prevent unauthorized access to our systems.
  • Access to personal data is strictly limited to Imagina employees, subcontractors and agents who require access in order to process it on our behalf. These persons are subject to strict confidentiality obligations and may be subject to disciplinary action, up to and including dismissal, in the event of failure to comply with these obligations.

Scope of application

These Confidentiality Rules apply to all services offered by Imagina, but exclude services governed by other confidentiality rules that do not incorporate these rules

This Privacy Policy does not apply to services offered by other companies or persons, including sites that may incorporate Imagina services. This Privacy Policy does not cover the data protection practices of other companies or organizations that advertise our services and may use cookies or other technologies.

Regulatory compliance

We regularly check our compliance with these Privacy Rules. When we receive a written complaint, we contact the user to follow up the matter. We cooperate with the competent authorities, including local data protection authorities, to resolve any disputes concerning the transfer of personal data that we cannot settle directly with the user.

Changes to the Privacy Policy

This Privacy Policy may change from time to time. Any reduction in your rights under this Privacy Policy will not be implemented without your express consent. We will post any changes to the Privacy Policy on this page and, in the case of significant changes, we will post a prominent notice.
